The Clutch Report

An inspection of how your trucking business really runs.

Your trucks and drivers get inspected all the time. The rest of your business rarely does. The Clutch Report looks at ten areas of your operation and shows where power is slipping between your people, your paperwork and your systems.

“If we had an hour to fix your business, we’d spend 55 minutes understanding it.”

— Medjay

Every area has a process, whether or not it’s written down. We look at both.

People, Knowledge & Process

Who knows how things get done, the processes behind the work (written down or not), and what happens when people are out.

Every part of a business runs on people, what they know, and the way the work gets done, whether or not anyone wrote it down. Every good carrier has people who hold it together. They know the customer quirks, the workarounds and the fixes nobody wrote down. That's a strength until someone retires, quits or takes a real vacation. Then you learn how much lived in one person's head. In clutch terms, that's wear. We look at where know-how lives, who carries more than they should, how new people learn the job, and how to share what your best people know.

Marketing & Sales

How freight gets won, priced and handed off.

In most carriers, selling happens between other jobs. The owner quotes the lanes. A deal gets made, and the details live in one person's head. Over time, what the customer pays for and what you actually do for them drift apart. A favor becomes a habit. A rate in your system stops matching the contract. We look at how you win and price freight, how deals get handed to the people who run them, and where agreements have drifted since the day they were signed.

Customer Experience

Everything that happens between the deal and the delivery.

Customers judge you on the calls, the updates and how fast you fix problems. In a lot of carriers, that work lands on whoever picks up the phone. Planners end up doing customer service. Nights and weekends depend on one or two people. Each customer's rules live in someone's memory. We look at who owns each customer day to day, how updates and problems get handled, and what gets lost when paperwork moves from the customer side to billing.

Dispatch & Operations

How loads get planned, covered and kept moving.

Your dispatch team makes hundreds of small decisions a day. Which loads to take. Which truck goes where. What to do when a plan falls apart. When those calls rely on judgment and memory, the business bends around the people making them. Empty miles creep up. On time can mean one thing to you and another to your customers. We look at how planning work is split, how decisions get made, and where handoffs between planners, drivers and customers slip.

Finance, Billing & Tax

How fast a delivered load turns into cash.

A load isn't done until it's paid. In between are paperwork, invoices, extra charges and driver pay. Every mistake upstream shows up here, as a late invoice, a short payment or a settlement a driver disputes. Billing is often one person who knows where everything is. We look at how money moves from delivery to cash, which charges never get billed, how driver pay lines up with what customers pay for, and what happens when your billing person is out.

Fuel & Energy

Your biggest cost, and what keeps it in check.

Fuel touches almost every part of your business. It shows up in your rates, your surcharge, your fuel cards and your trucks. When those pieces aren't connected, money leaks out in small amounts that add up. A surcharge that hasn't kept up. Purchases nobody checks. Fuel mileage nobody tracks by truck or driver. We look at how fuel gets bought, controlled and recovered, and whether the numbers in your books tell you the real story.

Equipment & Maintenance

Keeping units on the road and the records straight.

Your trucks and trailers are listed in a lot of places: registration, insurance, the maintenance system and the books. Over time, those lists stop matching. A sold truck stays insured. A defect report never reaches the shop. One mechanic knows how everything works. We look at how equipment is tracked, assigned and maintained, how problems get from drivers to the shop, and whether every system that lists your equipment agrees on what you own.

Drivers

Recruiting, pay, home time, and why drivers stay or go.

Drivers decide how your company feels from the inside. Many leave over things that seemed small: home time that slips, pay they don't understand, a promise from recruiting that nobody kept. Often the office doesn't hear about it until the driver is gone. We look at how drivers are recruited, paid and supported, how their needs reach the people who plan their work, and where what was promised and what actually happens have drifted apart.

Safety, Compliance & Risk

The files, audits and renewals that can't slip.

Safety and compliance run on deadlines, files and renewals. Insurance, claims and legal exposure sit right behind them. When this work depends on one person and the calendar in their head, things get missed: a file out of date, a renewal that sneaks up, coverage that doesn't match how you really run. We look at how compliance work gets done and tracked, who owns each deadline, and whether what you're covered for matches the business you actually have.

Technology & Security

Your systems, who can get in, and whether they talk.

Most carriers run on more systems than they realize, plus spreadsheets, text messages and a few personal phones. The same information gets typed in two or three times. Logins outlive the people who used them. Some systems never talk to each other at all. We look at which systems you rely on, how information moves between them, what gets re-entered by hand, and who has access to what, including people who have already left.

Sized to where you are, and where you're going.

We size every engagement to your company as it is today and where it's headed. A new era of tools, AI included, is here, but it only pays off when the right experts, and your time, money, energy and patience, go into the right approach.
