How a Medjay engagement works

From the first call to changes that stick: eight steps built around your people, your paperwork and the way your trucks actually run.

The eight steps

Start with the declared.

We begin with what’s already on record: our conversations so far, your org chart, policies, SOPs, rate agreements, driver handbooks and whatever lives in spreadsheets. Missing pieces are fine; knowing what isn’t written down is part of the picture. This is the baseline everything else is checked against.

Kick off with your people.

Before anyone is asked a question, your team hears what we’re doing, why, and what’s in it for them. Dispatch, drivers, billing and the shop get a say from the start, so the work feels like theirs, not something done to them.

See how the work gets done.

We learn how the work really happens from the people who do it: conversations, walk-throughs of a normal day, and the systems they use. It’s scheduled around your operation, so the trucks keep moving.

Confirm what’s true.

Where the paperwork and the day-to-day disagree, we don’t pick a side. We take the differences back to the people involved and work through them together until everyone agrees on what’s true, and what’s still unknown.

Expert review.

Our team reviews what we’ve found against what good looks like for a carrier your size, and brings in experts where it helps: safety, maintenance, billing, technology, or whatever the findings call for.

The Clutch Report

You get the Clutch Report: where your operation is slipping, what good looks like, and what closing each gap is worth. It’s written in plain language for owners and managers, with every finding tied back to what your people told us.

Options, together.

We lay out the options side by side: what to fix in-house, what to change in the systems you already have, and what’s worth buying. Then we decide together, starting with what pays off first.

Follow through.

We stay until the changes land: planning the work, training your people, and checking that each fix holds. The Clutch Report becomes the baseline you measure against next time.

We’re here to help you find the best solution, not just the ones that come through us.

What we ask of your team

Good consulting has always started with observation. The question is which kind fits each part of your business.

Consultants have always watched how work gets done: in person, with flow charts, SIPOC and value stream maps, recorded meetings, and workflows drawn together on a shared whiteboard. We use all of these where they fit. Every kind of observation shapes what it sees; people work a little differently with someone looking over their shoulder. So we choose the lightest touch that still shows the real day.

  • Observing the work as it happens.

Voyager records only on the computers it’s installed on. It captures the work as it’s really done, without anyone standing over a shoulder. It asks the least of your people and shows what nobody thinks to mention.

  • Walking us through it.

Where Voyager isn’t used, people show us their work in a Teams or Google Meet recording, in interviews, and by mapping it with us. It takes more of their time, and it tends to show a smoother day than the real one.

  • Your people stay in the picture. We walk through what we observed with the people who do the work, and they help shape how it changes from here.
  • Privacy built in. You choose which apps and sites are never captured, and Moments can be redacted.

It records only on the computers it’s installed on. Drivers have always worked alone in the cab, where clear rules matter most, like the cutoff for paperwork to get paid on a load. They take part through short conversations and check-ins.

What everyone does either way

  1. Answer short questions.

Quick surveys and questions in a chat with Ricky, our AI assistant, by typing or by voice.

  2. Share what they’ve written.

SOPs, and the notes they’ve made so others can cover for them when they’re out.

  3. Capture moments.

A quick screenshot when something works great, like a tool they’d hate to lose, or when something frustrates them and could be better.

  4. Join the conversations.

The most important part. Some are one-on-one with your advisor; some are small or medium groups across teams, with leaders and the people doing the work, talking through how and why things are done today and what could be better.
